Private hire terms and conditions

Thank you for inviting us to be part of your event. At The Whisk And Pickle, we are a small company dedicated to providing great food and a memorable experience. We aim to make your event unique and enjoyable and ask that you provide clear and prompt information about your requirements to help us deliver exceptional service.

Purpose of These Terms

These Terms and Conditions outline the services we provide, what you can expect from us, and your rights as a customer. They also explain how we handle cancellations, amendments, and other important aspects of our agreement. If you have any questions, please contact us to discuss.

1. Definitions

The following terms are used in this agreement:

“We/Us”: The Whisk And Pickle.

“You/Customer”: The person or entity listed as the customer on the booking form.

“Agreement”: These Terms and Conditions.

“Booking Fee”: The deposit paid to secure your event.

“Final Payment”: The remaining balance due for the event.

“Total Fee”: The combined Booking Fee and Final Payment.

“Event”: The specific event described on the booking form.

“Services”: The provision of pizzas and any related items or equipment as described in the booking form.

“Venue”: The location where the event is held.

“Written” or “In Writing”: Communication sent by email.

2. Booking Fee

2.1 A binding contract is created once the Booking Fee is paid, and by doing so, you agree to these Terms and Conditions.

2.2 The Booking Fee is non-refundable, except at our sole discretion.

3. Final Payment

The Final Payment must be made no later than 4 weeks before the event. Bookings made within 4 weeks of the event require payment in full. Failure to pay on time may result in cancellation (see Clause 5).

4. Provision of Services

We will provide the agreed Services as outlined in the booking form, provided all payments have been made.

5. Cancellation

By You:

If you cancel more than 8 weeks before the event, you forfeit the Booking Fee.

If you cancel less than 8 weeks before the event, cancellation charges apply as follows:

50% of the Total Fee for cancellations between 4–8 weeks prior.

75% of the Total Fee for cancellations between 2–4 weeks prior.

100% of the Total Fee for cancellations within 2 weeks of the event.

By Us:

We reserve the right to cancel due to non-payment or unforeseen circumstances. If we cancel, you will receive written notice at least 8 weeks in advance (except in cases of force majeure or Clause 7.2).

If we cancel due to Clause 7.2, the Booking Fee will be refunded within 7 days.

6. Amendments

6.1 We will do our best to accommodate requests for changes, such as adjustments to guest numbers or menu selections. However, changes are subject to availability and must be submitted in writing.

6.2 Additional charges may apply for increased portions, pizzas, or covers, as confirmed in writing.

7. Venue Requirements

7.1 It is your responsibility to ensure the Venue provides the necessary facilities for us to operate, including:

A 4 x 4 metre space.

A 240V power source, if requested on the booking form.

7.2 If the Venue does not meet these requirements, we may not be able to provide the Services, and cancellation charges may apply.

8. Timings

8.1 Any times provided (e.g., for service or setup) are estimates and subject to change.

8.2 We are not liable for delays caused by circumstances beyond our control (e.g., traffic or weather).

9. Liability

9.1 You are responsible for any damage to our equipment caused by venue staff or event attendees.

9.2 Our liability for losses is limited to the Total Fee paid, except in cases of death or personal injury caused by our negligence.

10. Allergies and Dietary Requirements

10.1 All dietary requirements (e.g., allergies, vegan, intolerances) must be communicated in writing at the time of booking.

10.2 While we take every precaution, we cannot guarantee that any item is free from allergens. Please notify us if severe allergies are present.

11. Insurance

We maintain public liability insurance for all events.

12. Governing Law

This agreement is governed by English law. Legal proceedings related to this contract will take place in English courts.
